Situation standard within Exact Synergy Enterprise

It is possible to have incoming email (automatically) uploaded to the Exact Synergy Enterprise database. Of course, the condition is that the sender’s e-mail address is known within Exact to link the e-mail directly to the right customer. It often happens that this functionality does not work consistently, so that (temporarily) certain email is not received. This is an undesirable situation. Especially when it concerns e-mails that are of great value to the organization, for example, request a quote.

To solve this problem, Qexpertise has built its own interface between Exact Synergy Enterprise and MS Outlook.

The interface makes it possible to create definitions yourself when an error occurs in the upload process. Think of the lack of customer recognition, employee recognition and/or not being able to create a document.

On all these errors it is possible to decide for yourself what needs to be done at that moment. Also, the upload function in Qexpertise’s interface will always be ON.  This is not the case now with exact’s default interface. As soon as an error occurs in the default functionality, the upload function is disabled for all emails. In addition to automatically keeping the incoming mail in the right place in the database, it is possible to start a process immediately – fully automated.

Interface directly on the MS Exchange server

A number of settings must be present before an email can be uploaded to Exact Synergy Enterprise.

Some of these settings are:

  • Folder name > the interface needs to know which Outlook folder to run
  • User > the interface needs to know which user the inbox should be read from
  • Type > the interface should know in which document folder in Exact Synergy Enterprise the mail should be put.

These settings are all centrally recorded in Exact Synergy Enterprise. The settings no longer have to be entered per MS Outlook client.

Because the interface is built directly on the MS Exchange server, there is no reliance on local installations for MS Outlook. Often there is a local problem that stops uploading. This is prevented because the uploading takes place in a central application.
